Frequently Asked Questions

The FAQ section has been established to provide a tool for rapid response to understanding all of the features within Pookanyoni. Due to the vast array of applications using Pookanyoni, it is not possible to address all queries. This is especially true when considering the technical issues when it comes to industry specific details. To this end, all are welcome to join in the forums that have been provided and to make suggestions or ask questions to enhance the use of Pookanyoni. Allocation is normally performed within the body of an invoice and is normally done to a General Ledger Account. Pookanyoni has approached this differently as there are no General Ledger Accounts by default. Allocating an invoice is therefore done to a record in levels 2, 3 & 4 and the record could be a General Ledger Account, but it could also be a tractor, a pet, a house or the school. If an mis-allocation has occurred, this can be changed at any time. Part allocations are also permitted as is leaving values unallocated.

It is incredibly useful to enhance a record with supporting documentation and images. Pookanyoni copies the file to its own directory structure leaving the original source un-touched. If one considers an asset register, the quotes, invoices, correspondence with suppliers, warranties etc can be placed with the record which become immediately available when the record is visited. Not only are these supporting files immediately available, but they are opened in your default program. See the FAQ called "Change from Text to preferred Word Processor".

Most activities require a level of competency. The common considerations tend to be safety, machinery, electricity and flammable gasses. Issues such as pest control, cleaning, designing, repairing and many more activities demand competencies that are not always recorded or made known to others. An Activity Card is what brings the database to life. The record has been created, the What If has been answered, competencies have been awarded to the Employee or Supplier or both and it is now time for the activity to be identified and then performed as prescribed by the Administrator.

Level 1 & 2 records are quick & easy to use. Where lookups are employed, the first character selected on the keyboard will cause the lookup to proceed to the 1st record beginning with that character. Use the down button on the keyboard to navigate to the correct record. Tab onto a Boolean Field and use the Space Bar to place the tick into the field. Capture only the information required and customise to suite.

Levels 3 & 4 have an additional depth in that it provides for different types of records within the level. In all instances, the type must be available and only when tabbing off of the type are the defined fields made available. See "Setting up Level 3 & 4 Administration".

A Report Template tells the system where to place the required information on a page. As Pookanyoni is committed to considering the environment, it generates the report to a .txt file which can be redirected to the preferred word processor. See "Change from Text to preferred Word Processor". By so doing, reports can be transmitted electronically or printed if really necessary.

Pookanyoni's licence is per device and an infinite number of users may use the product on the same device. The user needs to have been captured as an Employee before they can be added as a User. See "Create Employee Records".

There are two parts to a supplier, their skills and product range. Skills are addressed with the recognition of competencies in the Supplier Administration interface and the product through the means of their catalogue which is quick and easy to import complete with the images and supporting documentation.

In keeping with Pookanyoni's commitment to the environment, Activity Cards may be exported electronically to the person intended to perform the activity and back.

Not only is this environmentally friendly, but the safeguards of the parties involved have been addressed. When the Activity Card is exported the 1st Time, details about the work which includes the Risk Assessment and Safe Working Practices, are not editable by the importer. Once the Activity Card has been completed and returned to the originator, the entries from the person who performed the Activity are protected.

The use of the Navigator Pane should alleviate the traditional hunt for a record. However, in pursuit of providing alternatives, Find has been implemented.

Find, in a database, is completely different to word processing, wild cards and parts of a word will not achieve a result. The full content of the field must be entered. If searching for Douglas, *las, douglas and Doug* will not realise a result - it must be Douglas.

Find is more intended for use with numerical values when tying up payments made to invoices where there may be many instances of the same value.

As Pookanyoni has provided the versatility for users to layout their own screens, it needs for users to identify the fields that needs to be placed into the Invoices.

When importing a Catalogue, it brings in the name of the owner of the catalogue and displays this under the heading of Supplier.

The creator of the catalogue is considered to have intellectual rights over the catalogue and provision to edit the imported catalogue has been accordingly withheld.

Provision has been made for every record to have a viewable image of that record.

Within the directory called "Pookanyoni" is a subdirectory called "Outbox" which needs to be shared if others are to import your exports and Goggaki. To prevent others having access to this directory, whilst Pookanyoni is open and in use, it takes possession of the tables within the directory. This allows the user to remove or add to the Out Box without fear of others accessing whilst editing.

Pookanyoni automatically creates a user called "Administrator" and allocates the password "admin".

Adding users is conditional to the person appearing in the Employee records. Access to the database features are governed from here.

Where "Employee" has been renamed "Family Members", the Administrator can easily prohibit the import of undesirable catalogues, images and documents by those that need protection from undesirable material. See "Setting Supplier Status" and "Setting up Supplier Administration".

Pookanyoni has used 3rd Party Software to translate the Queen's English into other languages and provides for the immediate implementation of a language change throughout all of the interfaces. Errors in translation will need to be corrected here.

Other forms of English, dialects within other languages and languages not already translated will need to replace existing languages as there is only provision for 10 languages, excluding the default language.

The Generate feature in Pookanyoni writes to a .txt file that would normally be opened by Wordpad or similar. To use another Word Processor with more features, follow these steps.

Where an Activity is required and no "What If" has been created or is needed, then the activity is considered unplanned - hence the term Breakdown.
